Virtual File Server (File Manager):  Every business has three types of filing requirements. (1) Personal filing and shared space, (2) Customer / Supplier / Business associate filing, (3) Company wide filing. All three have very different characteristics, all three are present within i-Tr@der.

The capability to copy files easily has lead to loss of control of filing in companies today. Which is the most current document? where is the latest file? two people editing the same document and overwriting each others work. These are all common problems which i-Tr@der helps to resolve through a 'back to basics' approach to document filing.

Finding the image you need is made easy with the Folder view feature

Viewing Images and Documents:  Finding documents and images even with good filing systems can sometimes still be difficult. The ability to see files as shown to the left as thumbnails can speed up the process when the name of the file is not known.

Folders can be placed on users desktops for convenience and images can also be cycled through one by one. This folder view is not restricted to images, files will be displayed with their appropriate icon depending on their file type. This method of file access is view only.

The Document Store:  Each document loaded onto the Virtual File Server starts a Document log for that file. The logfile is important as it provides an audit trail for the document. Information contained in the audit includes entries for, opening, re-saving, opening via an email, moving, booking in / out and all this is recorded with a Date / Time stamp and the name of the person performing the action.

The Document store provides other useful functions such as the direct web reference to the file. This direct reference is required if inserting an image already in the Filing system into a document, this reference points to its exact location.

In addition there are three file tag reference fields all of which are searchable and help locating files in the future.

Each document builds up its own history file. Keywords and Reference information can also be entered which helps when using the search facilities
Sending Documents as attachments often causes issues with size constraints. i-Tr@der emails files (by default) as links to the files on the web server, this ensures emails are always delivered and reduces internet traffic!

Linked Attachment emails:  i-Tr@der has a unique new technology for emailing documents. Instead of sending files as attachments they are embedded as links in the email to the documents. This technology has two immediate benefits., (1) Emails are never refused because they are too big, (2) Only recipients opening the link generate Internet traffic.

The BIGGEST benefit however is that when the recipient opens the attachment link, you get an email telling you they've opened it and at what time. Imagine how useful that might be when you need to know when your attachment has been opened?

Documents & Templates:  Many of the documents that we create in our working day are fairly simple and derive from a base template. i-Tr@der has a simple to use text editor built in that can be used to create / edit documents directly in the File Manager. This simple editor provides about 80% of the requirements of most companies word processing needs.

Templates such as Standard letters and quotes can also be used via the Contact record to create documents where all the contact information is inserted automatically.
